Purpose of Role
Ensure effective project management that enables delivery from start to end, whilst maintaining optimal relationships with clients and learners thereby ensuring ongoing business. To facilitate the delivery, engage, assign and manage resources associated with the project delivery.
Key performance objectives
- Build and maintain healthy relationships with core business customers assigned to the portfolio, thereby ensuring ongoing business
- Efficiently project manage all assigned projects from start to end to ensure quality delivery within the agreed timelines
- Ensure that learning facilitation takes place and that all requirements are in place to manage effective delivery
- Ensure that all learner’s evidence portfolios are completed on time to the appropriate quality standard
- All learners’ portfolios are assessed on time and meet the unit standard requirements in order to ensure certification. Ensuring that project coordinators contact learners on a regular basis and follow up on their commitments
Responsibilities : Client Liaison
Customers are satisfied with the project roll-out and delivery. Measure customer satisfaction during and post the project.Hold monthly status meetings with clients and deliver a monthly status report to the clients and Ops Manager.Identify possible project risks, communicate, and manage risk proactively, to ensure that the project is not derailed.Identify possible up sell opportunities and liaise with the sales team to trigger cross and up-sell.Communicate with learners regularly to keep them informed of client expectations and to address possible concerns. Keep the client informed of issues.Understand the client’s expectation in terms of delivery from the learners, track performance and communicate progress to the client. Manage any issues or concerns.Project Management
Project Planning, Implementation and ControlFormulate project plans and involve the necessary role players. Ensure effective resource allocationEnsure roll-out plan & learning program timetables are implemented according to schedule. Any authorized changes are made and communicated to all stakeholders involvedEnsure that logistical requirements of the project are metAnticipate and recognize problems, assess alternatives and recommend solutionsManage engagement performance versus work plan and budget in areas of responsibilityReport on project status and progress to the Operations Manager on a weekly basisEnsure that project files are maintained according to set standards and that the files contain project checklists which are to be updated real time as delivery occursProject Closure and Evaluation
Prepare close-out report and conduct close-out meetings with clients which should include debriefing in order to ensure continuous improvement.Ensure that project documents are filed, cleaned up and archived, either physically or electronically.Learning facilitation
Training AdministrationEnsure that :Training and learner materials loaded on the portal are checked a week before training startsFacilitator packs are preparedFlights, accommodation, car hire & venues are bookedFacilitation
Ensure that :Facilitators are prepared for and facilitate learning program as stipulated in Project SchedulesEnsure that quality standards are met and that the relevant policies and processes are adhered toManage the classroom and facilities professionally at all timesProtect company's intellectual and physical property and assetsEvidence Gathering & POE Administration
Ensure that :Learner PoE’s is created and kept up to date, if done manuallyLearner evidence is assessed according to the scheduleReceipt and dispatch of learner PoE’s are tracked, if done manuallyEnsure that evidence collection takes place within the agreed timelinesAssessment
Assessments will be carried out as and when necessary, in the correct manner and format as required by the company and Seta ETQA standards, policies and proceduresAssessments will be completed within the specified timeframes given by managementFeedback is given to learners as per ETQA requirementsModeration
If the Project Manager is an assessor or moderator, then he / she will be expected to perform moderation duties from time to time, in line with the company and Seta ETQA standards, policies and proceduresSkills, Experience and General Requirements
