Job descriptionReports To: Procurement Manager Purpose of the Role The Imports Clerk will support the Imports and Procurement function by coordinating and administering the end-to-end importation process for raw materials, packaging, and other goods required for production. This role is suited to a highly organised and detail-oriented individual who can manage documentation, track shipments, and ensure compliance with customs and regulatory requirements while supporting efficient supply chain operations in a fast-paced FMCG manufacturing environment. Key Responsibilities - Import Coordination & Administration - Support the end-to-end importation process by coordinating with suppliers, freight agents, and customs clearing agents - Track and monitor shipments to ensure timely delivery of goods - Follow up on deliveries and proactively resolve delays or disruptions impacting lead times - Documentation & Compliance - Compile, manage, and maintain all import documentation including invoices, bills of lading, and customs declarations - Ensure compliance with SARS customs regulations, import requirements, and applicable legislation - Maintain accurate and up-to-date records of all shipments and related documentation - Delivery & Logistics Coordination - Monitor and update delivery schedules to ensure adherence to timelines - Assist in ensuring goods are cleared and delivered efficiently - Liaise with internal teams to ensure alignment on inbound deliveries and stock availability - Financial & Invoice Validation - Validate supplier and freight invoices, ensuring all charges are accurate prior to submission for payment - Support the tracking of landed costs and assist with cost accuracy checks - Reporting & Performance Monitoring - Track and report on key import KPIs including lead times, delivery performance, and cost metrics - Identify delays, risks, and inefficiencies within the import process - Procurement & Operational Support - Assist the Procurement team with verification and capturing of incoming goods - Support continuous improvement initiatives aimed at reducing delays and improving efficiency - Provide general administrative and operational support to the Imports and Procurement function - Cross-Functional Collaboration - Work closely with Finance, Warehouse, Planning, and Supply Chain teams to ensure alignment - Communicate proactively with stakeholders to ensure smooth operational flow Experience & Qualifications - Grade 12 (Matric) - Diploma in Logistics, Supply Chain, International Trade or related field (advantageous) - Minimum 1–2 years’ experience in imports, logistics, or shipping coordination - Familiarity with SARS customs processes, Incoterms, and shipping documentation - Proficient in Microsoft Office, particularly Excel Key Competencies & Skills - Strong administrative and organisational capability - High attention to detail and accuracy - Strong communication and follow-up skills - Ability to manage multiple tasks and meet deadlines - Basic understanding of supply chain and import processes - Ability to work under pressure in a fast-paced environment Personal Attributes - Self-motivated and proactive - High sense of urgency and accountability - Reliable, professional, and dependable - Strong problem-solving mindset - Ability to prioritise and manage workload effectively - Maintains confidentiality and professionalism at all times Key Relationships - Internal: Supply Chain, Procurement, Planning, Operations, Warehouse, Logistics/Dispatch, Finance - External: Suppliers, Freight Agents, Clearing Agents, Distributors, Customers Other Requirements - Must be based in or willing to work in the Kempton Park area - Comfortable operating in a dynamic, operationally driven environment Benefits - A competitive, market-related Total Cost to Company (TCTC) package aligned with the scope of the role within the organisation will be offered. - Opportunities for professional growth in a dynamic FMCG manufacturing environment.
