Schedule Details : Monday through Friday; Scheduled Hours : 8 : 30-5pm; Shift : Day Shift, 8 Hours; Hours : 40; Cost Center : 34000 - 3210 Child Protection; Union : SHARE (State Healthcare and Research Employees). This position may have a signing bonus available; a member of the Recruitment Team will confirm eligibility during the interview process.

Responsibilities
- Performs secretarial and administrative support services for assigned physicians / faculty / medical service line chiefs, requiring knowledge of medical office procedures and UMMHC practices. Interfaces with faculty, medical staff, patients, and administrative management; coordinates related office activities and staff where applicable.
 - Coordinate medical office activities and staff as assigned, including training, scheduling, process improvements, and monitoring performance.
 - Transcribe medical reports from dictation; produce correspondence and reports; proofread / edit manuscripts, grant applications, and professional papers for grammar, spelling, format, and style.
 - Attend meetings as recording secretary; distribute agendas and minutes.
 - Coordinate residency, fellowship, clerkship, and / or graduate / undergraduate education programs as applicable.
 - Prepare or select standard form letters for physician responses to routine inquiries and procedures (e.g., back-to-work authorizations).
 - Arrange meetings and activities for faculty to optimize time; make travel arrangements for trips and conferences.
 - Schedule and coordinate patient visits and procedures for inpatients and outpatients with admitting, OR, testing centers, pre-admission, etc.
 - Coordinate internal and external meetings; greet visitors / patients and provide standard information; foster quality customer service.
 - Receive and address patient-care related phone calls; refer matters to appropriate department personnel.
 - Identify priority issues and respond to urgent needs within physician guidelines.
 - Issue and verify patients’ managed care referrals.
 - Register patients for visits using computer-based registration / scheduling systems; verify insurance coverage and eligibility.
 - Escort patients to examination rooms and chaperone as required.
 - Collect co-payments, maintain records, and make daily deposits.
 - Perform on-site charge entry and batch daily encounter forms; relay information to billing.
 - Process standard and non-standard business office paperwork (purchase requisitions, time sheets, expense vouchers, etc.) and follow up to expedite action.
 - Provide guidance on medical office and UMMHC administrative policies; may supervise office clerical staff.
 - Set up and maintain confidential files and records; coordinate retrieval of medical records.
 - Ensure adequate inventory of office supplies and basic maintenance of equipment; coordinate basic setup and maintenance of PCs and related equipment.
 - Participate in performance improvement initiatives and apply quality improvement to daily operations.
 - Ensure compliance with health and safety requirements and regulatory agencies (e.g., DPH).
 
Qualifications
License / Certification / Education : Required : High School diploma; 6-12 months of additional specialized medical secretarial / medical office training.Experience / Skills : Required : 2-3 years of medical secretarial / administrative support experience. Software : word processing, spreadsheet, presentation graphics, database; systems such as Medi-Tech, IDX, Lynx, etc.Equivalent combination of education and experience may be substituted for listed requirements if certification / licensure is not required.Physical Demands and Environment
Work is sedentary; indoor office environment.
