The purpose of the role of Senior Executive Assistant to MD – Asset Management & Operations and MD of Construction is to provide administrative and executive administrative support to the MD – Asset Management & Operations and MD of Construction across all professional support needs. The role will be based in Johannesburg, South Africa.
Key Responsibilities
Executive Support
- manage travel arrangements including hotels, restaurants, taxis and visas arrangements as required.
- diary management using MS Outlook; responsible for arranging meetings, lunches, booking meeting rooms and venues, greeting visitors etc.
- administrative support – assist in preparation of presentations and reports, generating reports, maintaining documents, general correspondence, scanning and filing; takes minutes when required.
- As appropriate organizes closing dinners, internal events and Board Meetings as required
- expenses – manage the process of submitting expenses for MD – Asset Management & Operations and MD of Construction and own expenses to Finance team in the timely manner.
- manage specific projects as assigned.
Board & Committee
provide support to Senior EA to CEO (if required) in coordinating the Board meetings, including diary coordination to accommodate 4 annual Board meetings and arrange hotels, dinners, catering and transfers for the attendees.Set up Town Halls and coordinate with other EAs.travel to attend the Board meetings, when required.Meetings, & Reports
attend (if required) and support Senior EA to CEO in coordinating weekly and extended monthly EXCO meetings.provide a support and cover to Senior EA to CEO in coordinating the Investment Committees and Shareholders Meetingscoordinate and attend weekly team meetingsConference & Events
work closely with Senior EA to CEO to coordinate and attend (if required) annual AOP Conference, annual OPS Conference and Business Development ConferenceAdditional duties as from time to time it may be required
