Executive Assistant
A fast‑growing healthcare company dedicated to putting the customer at the heart of everything we do. We’re on an ambitious growth journey, and we’re looking for a highly organised, proactive, and strategically minded Executive Assistant to support our Managing Director and leadership team.
The Role
This is more than a traditional EA role. You will act as a trusted partner to the leadership team — managing schedules, communications, and logistics while anticipating needs, streamlining priorities, and supporting strategic initiatives. You’ll ensure the leadership team can focus on what matters most, making a real impact on the company’s growth and success.
Key Responsibilities
Email, Schedules & Calendars
- Coordinate and manage the daily schedules of the MD and leadership team, ensuring all meetings, appointments, and deadlines are seamlessly organised.
- Act as the gatekeeper for the leadership team, balancing priorities and commitments effectively.
- Manage incoming emails — filtering between action, informational, and junk — with a goal of responding directly to 50% of actionable correspondence.
- Anticipate the MD’s needs and proactively flag conflicts, priorities, and opportunities.
Communication & Correspondence
Draft, review, and manage all forms of communication on behalf of the leadership team, including emails, reports, and presentations.Serve as the main point of contact for internal and external communications, ensuring prompt, professional, and effective responses.Facilitate communication between the leadership team and other departments, ensuring alignment and clarity.Administrative & Strategic Support
Provide comprehensive administrative support including document preparation, data entry, and file management.Handle confidential and sensitive information with absolute discretion.Prepare briefing packs, summaries, and presentations to ensure leadership are fully informed for meetings and decisions.Support strategic projects and track actions and deadlines arising from leadership meetings.Identify opportunities to improve systems, workflows, and processes across the organisation.Travel & Meeting Arrangements
Organise and manage all travel logistics — flights, accommodation, itineraries — for the leadership team.Prepare detailed meeting agendas and materials, ensuring participants are fully briefed.Coordinate logistics for internal and external meetings, including venue bookings, catering, and technology setup.About You
