Job Description
The role of the Executive Team Assistant will be to provide high level administrative support to the Senior Leadership team within South Africa and work closely with the CEO’s office as well as other key stakeholders to ensure smooth day‑to‑day operations of the executive office.
Key Responsibilities
- Provide executive assistance to the CEO and / or Company Secretary, including diary management, meeting coordination, travel arrangements, preparing correspondence and presentations and general administrative duties.
- Act as focal point for internal and external stakeholder queries, managing sensitive information with discretion and maintaining confidentiality at all times.
- Manage projects independently, identifying areas where process improvements can be made and implementing solutions.
- Ensure the effective functioning of the Board & its Committees by preparing agendas, minutes and follow up actions; liaising with the Company Secretary on the distribution of board papers; organizing meetings and keeping track of action items; and ensuring that board members are kept informed of relevant developments.
- Take ownership for the induction of new employees, providing guidance on company policies and procedures, and assisting in the administration of HR related matters such as leave forms and medical claims.
- Maintain filing systems and databases, record keeping and minute taking.
- Perform any other duties that may be assigned to you from time to time.
Qualifications
Relevant qualification and experience.Minimum 5 years’ experience working as an Executive Assistant.Highly developed organisational skills with meticulous attention to detail.Excellent communication skills – verbal and written.Demonstrated ability to prioritise tasks and meet deadlines under pressure.Proven proficiency using MS Office applications (in particular Excel).Experience in managing multiple calendars and coordinating meetings.Ability to interact with people at all levels, both verbally and in writing.Must have a valid driver’s licence.Awareness of potential compliance risks and a commitment to act with integrity.Legal and EEO Statements
