- Aon South Africa is recruiting an Executive Assistant to the CEO of Aon South Africa, based on a hybrid basis from our Head Office in Sandton.
- The primary role of the executive personal assistant is to provide high level strategic, administrative and operational support. The role acts as a trusted partner, ensuring CEO’s office functions with excellence, efficiency and confidentiality.
- The role serves as a primary point of contact between the CEO and the internal / external stakeholders and supports the CEO by providing full executive assistant functions, including managing information flow, preparing critical documentation and ensuring the seamless execution of key initiatives and engagements as well as all travel arrangements, coordinating functions / events and effective diary management.
- The executive personal assistant will also work closely with the other Executive Personal Assistants and ensure alignment across Exco.

Effective and accurate diary management.Anticipate priorities and schedule accordingly.Coordinate ad hoc events / functions within budget.Plan and distribute agendas for meetings.Take and disseminate minutes of meetings.Organise all local and international travel arrangements, visas, transport, accommodation, car hire etc.Effective office administration by producing all documentation (reports, Power Point presentations etc.) to a consistently high standard within defined time frames.Ensure filing is up to date, kept in order and is easily accessible.Plan ahead and communicate appropriately to ensure deadlines are met.Collate management information and ensure relevant people receive the information on time.Accumulate correct information to solve problems and know where to source information within the business to address issues.Direct queries / requests to appropriate parties and monitor / follow up to ensure problems are resolved.Coordinating leave schedule and processing leave applications for executive team.Coordinate day to day activities and functions with direct reporting line for company Driver. May be involved in coordinating day to day activities for Office Cleaner and Receptionist as well.Receive and attend to visitors for CEO and Chairman.Collate and process expense reports for CEO and other Senior Executives.Skills and experience that will lead to success
Qualifications.
Grade 12 and higher (matric).A secretarial diploma.Evidenced experience in a similar roleKnowledge.
Demonstrate sound business judgement, discretion, and a deep understanding of the insurance industry’s operational, compliance, and client-focused context.Skills and Attributes.
Well-developed above average typing speed with a high degree of accuracy.Well-developed interpersonal skills.Well-developed analytical skills.Articulate communicator.Well-developed communication skills. (Written and spoken).Proven ability to work with and in teams.Computer literacy with advanced experience in MS Word, PowerPoint and Excel.Experience.
Have a minimum of 5 years’ experience as a personal assistant at executive level.Administrative / Management jobs
