Overview

A conveyancing secretary provides administrative support to conveyancers, handling tasks such as preparing legal documents, managing correspondence, and scheduling appointments.

Responsibilities

  • Maintain client files and assist with property searches; open, manage, and drive bond files from instruction to registration and final account.
  • Prepare bond documents, consents, resolutions, powers, guarantees, and transfer bundles for lodgement; draft and check documents to ensure accuracy.
  • Obtain and verify FICA, rates / levy / transfer duty figures; manage compliance throughout the conveyancing process.
  • Liaise with banks, clients, estate agents, and deeds office; clear conditions and resolve queries proactively.
  • Manage lodgements, withdrawals, re-lodgements, registrations; prepare and execute documents; update conveyancing systems and diary notes.
  • Ensure adherence to industry requirements and confidentiality; maintain high-quality client service and professional communication.

Qualifications

  • Matric essential; conveyancing certificate or relevant tertiary qualification advantageous.
  • At least 5 years of experience as a Conveyancing Secretary focused on bond registrations and cancellations in a law firm environment.
  • Strong knowledge of Deeds Office processes and lodgment timelines.
  • Proficiency in MS Office and legal software (e.g., Lexis Convey or equivalent).
  • Excellent English; Afrikaans or another SA language is beneficial.
  • Ability to work independently with strong time management and attention to detail.
