Operations & Marketing Coordinator (Sales Priority)
Location : Florida, USA | Remote Full Time. Working hours : 8 : 00 am to 5 : 00 pm EST (open to flexible hours). Some weekend work required.
Salary Range : USD / month.

Responsibilities
- Brand & Client Care Stewardship
Represent the company front‑facing, reflecting brand values.
Provide white‑glove client support across email, Telegram, Facebook, etc.Guide clients from onboarding through ongoing care.Maintain compassionate client and community touchpoints.Executive & Administrative SupportManage inbox and client helpdesk with precision and warmth.
Provide calendar updates, file organization, and digital workspace management.Maintain SOPs, internal documents, and client‑facing resources.Track testimonials and user‑generated content.Offer live call support (chat backup and logistics).Project & Team ManagementTrack and drive momentum on all projects, launches, and initiatives.
Manage task boards to keep the team accountable.Coordinate contractors, creatives, tech, and customer support.Track performance metrics for programs, launches, and community engagement.Client & Program ManagementManage billing, payment plans, and failed payments.
Facilitate onboarding and success check‑ins.Own communication cycles for programs (emails, reminders, recordings).Manage Telegram and Facebook groups (customer care, content support).Upload and organize call recordings for programs.Support updates in Kajabi and Kartra for memberships and course access.Marketing & Launch ExecutionAssist in executing marketing campaigns and daily communications.
Support product setup, sales pages, opt‑ins, and automations in Kajabi.Track and QA email sequences, links, tags, forms, and checkout flows.Design light graphics for launches (welcome graphics, banners, etc.).Support affiliate tracking, communication, and incentive management.Events & Experience SupportAssist in planning and coordinating events and retreats (logistics, research, waivers).
Support communication and client management around events.Assist with live or virtual community engagement during event periods.Strategy & Creative Direction SupportContribute ideas and insights to strategy discussions.
Ensure all implementation aligns with the client’s creative vision and long‑term goals.Qualifications
4–5 years of experience in a similar operations & marketing coordinator role.Strong entrepreneurial mindset and startup experience.Detail‑oriented executor who moves quickly without dropping the ball.Client‑centric – love delivering care and making people feel supported.Organized & proactive – manage timelines, calendars, and systems like a pro.Tech‑savvy – comfortable with Kajabi, Kartra, Asana, Google Suite, Telegram, and email marketing platforms.Growth‑oriented – excited to scale with a fast‑growing brand.Embodiment‑aligned – resonate with values of embodiment, wellness, leadership, and conscious business.Nice‑to‑Haves
