The Marketing Operations Specialist plays a pivotal role in supporting our client’s global marketing operations by managing, optimizing, and scaling marketing technology, data, and process infrastructure across brands and business units. This individual will build and maintain integrations, marketing automations, data pipelines, and campaign enablement systems to ensure seamless execution and measurement across the marketing funnel.
The ideal candidate is technically skilled, analytically minded, and detail-oriented, with strong experience in HubSpot, CRM systems (Microsoft Dynamics 365), and multi-channel marketing environments. They will work closely with U.S.-based marketing, digital technology, product, and analytics teams to ensure data accuracy, process efficiency, and continuous improvement in campaign performance.

The Marketing Operations Specialist will have opportunities to support the design and implementation of AI-enabled automations, reporting, and integrations that improve lead management, campaign performance, and team productivity.
Duties & Responsibilities
Marketing Technology Management
Maintain, optimize, and integrate our marketing technology stack, including HubSpot, Microsoft Dynamics 365, Zapier, Power Automate, Segment, and supporting tools.Build and manage marketing automation workflows, lead nurturing sequences, and campaign triggers within HubSpot.Create and manage integrations and data pipelines between CRM, CDP, and marketing tools to ensure accurate, real-time data flow.Partner with IT and external vendors to troubleshoot, maintain, and enhance system performance and data governance.Support ongoing tool rationalization and sunset initiatives (e.g., Scribe deprecation and consolidation into scalable systems).Data Management & Reporting
Maintain and enhance marketing lead and contact databases; ensure data hygiene, deduplication, and accuracy across systems.Support implementation of data validation and deliverability tools (e.g., ZeroBounce) to improve contact quality.Enable consistent lead attribution and funnel velocity measurement, ensuring visibility into marketing contribution across the TOFU, MOFU, and BOFU lifecycle.Build and maintain marketing dashboards and performance reports using HubSpot, Power BI, or other analytics platforms.Collaborate with stakeholders to develop and refine KPIs and automate recurring reports.Segmentation & CRM Alignment
Serve as a SME on segmentation logic, list building, and HubSpot audience tools.Maintain deep understanding of our data model, business fields, forms, and integrations to inform smart campaign targeting and qualification workflows.Advise marketing teams on lead qualification process design, audience inclusion / exclusion rules, and data readiness.Act as a connector between marketing systems and business CRM structure, ensuring consistency in data fields, logic, and campaign enrollment criteria.Troubleshoot and optimize workflow connections across tools, ensuring no breakdowns between forms, automations, and integrations.Campaign Enablement & Process Optimization
Partner with U.S.-based marketing managers to implement automated, measurable lead generation and nurture campaigns across channels.Support audience segmentation, targeting, and personalization efforts across email, SMS, and website experiences.Optimize campaign workflows to reduce manual tasks and accelerate execution across brands.Manage form, chat, and survey workflows (HubSpot, Formstack, Formsite) to ensure seamless data capture and routing.Collaborate with recruiting operations teams to ensure accurate recruiter handoff, lead follow-up, and data recapture.AI-Powered Automation & Optimization
Support the configuration, QA, and optimization of automated content workflows that use tools like Claude and Canva to generate repurposed assets at scale.Structure metadata frameworks (e.g., audience profiles, segment types, CTA libraries) to power consistent and accurate AI output.Contribute to the evolution of prompt templates, Skill files, and reference tables used by generative AI tools.Collaborate with internal teams to identify repetitive marketing processes that can be streamlined through automation — and explore opportunities to layer in generative AI tools where appropriate to improve efficiency and output.Support pilot programs exploring emerging AI-powered marketing technologies (e.g., HubSpot AI, Dynamics Copilot, Claude, or third-party AI connectors), contributing to testing, feedback, and adoption readiness.Document workflows and learnings from AI-enabled marketing initiatives to support knowledge sharing, system scaling, and continuous improvement across the team.Support the evaluation and configuration of tools (including emerging AI-powered platforms) that can improve lead scoring logic, segmentation accuracy, or workflow efficiency.Collaborate with cross‑functional teams to identify manual processes that could be streamlined through automation or enhanced with emerging AI tools where appropriate (e.g., content generation, workflow summaries, data insights).Support pilot programs evaluating AI-based marketing technologies (e.g., HubSpot AI, Dynamics Copilot, OpenAI tools, or third‑party AI connectors).Document system workflows and process maps, and share learnings from AI‑enhanced optimizations to scale best practices across the team.Efficiency & Innovation
Identify opportunities to automate and simplify marketing operations processes using AI tools, low‑code automations, or workflow efficiencies.Participate in pilots of new martech tools or capabilities to improve communication, analytics, and performance.Support implementation of the marketing technology roadmap to scale systems for growth.Contribute to initiatives such as enterprise SEO enablement, SMS channel optimization (WhatsApp, Twilio), and career program system setup.Cross‑Functional Collaboration & Support
Serve as a trusted technical partner to marketing, creative, analytics, and IT teams.Support ticket resolution, tool access management, and documentation for all marketing systems.Train team members on system processes, reporting, and campaign best practices.Communicate proactively with U.S.-based colleagues to align on priorities, deadlines, and data dependencies across time zones.Qualifications
Education & Experience
Bachelor’s degree in Marketing, Business, Computer Science, or related field required.3-5 years of experience in marketing operations, digital marketing technology, or marketing automation.Hands‑on experience with HubSpot Marketing Hub (Enterprise preferred) and Microsoft Dynamics 365 CRM.Strong familiarity with data integration platforms such as Zapier, Power Automate, or Segment.Experience maintaining and optimizing data flow between multiple systems (e.g., CRM, CDP, analytics, and advertising).AI & Automation Experience (Preferred But Not Required)
Hands‑on experience using AI tools or APIs to build or optimize marketing workflows (e.g., OpenAI, Zapier AI actions, HubSpot AI, Microsoft Copilot, or ChatGPT custom GPTs).Familiarity with AI‑powered data processing, content automation, or predictive analytics within marketing or CRM environments.Experience creating or configuring AI agents, copilots, or automations that improve operational efficiency (e.g., automating campaign reporting, data cleanup, or communication routing).Ability to explain and demonstrate past AI‑related projects — how they were built, the problem they solved, and the measurable impact.Interest in continuous learning and exploration of emerging AI and MarTech trends.Technical Skills
Proficiency in marketing automation, CRM, and data management systems.Knowledge of SQL, API integrations, or low‑code automation tools preferred.Strong Excel / Google Sheets and Power BI (or similar data visualization) skills.Understanding of SEO, attribution modeling, and conversion rate optimization a plus.Familiarity with enterprise‑level martech components (email, SMS, chat, forms, web analytics, reporting).Core Competencies
