Creative Services Coordinator (TOD) (Remote SA) -
Location : Remote (LATAM and South Africa)
Contract : Independent Contractor, 12-month contract with the potential for an indefinite extension.
Schedule : Full-Time, Monday-Friday, EST
About The Role
The Creative Services Coordinator oversees project intake, task assignment, and the day-to-day workflow of our in-house creative team. You’ll collaborate closely with designers, customer success, and clients to ensure every project has clear requirements, accurate priorities, and meets its deadlines. If you thrive on organization, communication, and keeping creative work running smoothly, this role is for you.
What You’ll Do
- Manage the daily workflow of design and production projects from intake through completion.
- Review customer-submitted assets and briefs for quality and completeness; follow up to obtain missing details.
- Triage and assign work from the submission queue, adjusting as priorities shift.
- Communicate real-time updates, changes, and blockers to designers and stakeholders.
- Enter, translate, and maintain project notes in CRM and workflow tools.
- Gather and document requirements to ensure each project starts with clear goals, specs, and timelines.
- Follow up with Creative Services Specialists, Customer Success / Marketing Advisors, and clients to resolve information gaps.
- Contact clients directly via phone or email for clarification when needed.
- Monitor in-progress work to ensure all scheduled projects are completed on time.
- Make informed prioritization decisions across creative and client success teams.
- Prepare and package logo files and other assets for print when required.
- Apply knowledge of company policies, processes, and costs to recommend the best solutions for clients.
- Perform additional duties as needed to support efficient creative operations.
What You’ll Bring
Proficiency on Mac is preferred but open to Windows.Working knowledge of Canva and Adobe Creative Cloud (Photoshop, Illustrator, InDesign, Acrobat Pro).Proficiency with Microsoft Office (Word, Excel).Ability to quickly learn new software and workflow systems.Strong organizational skills, attention to detail, and excellent follow-through.Clear, concise written and verbal communication.Sound judgment and the ability to make quick decisions in a fast-paced, deadline-driven environment.Basic understanding of print production and file preparation best practices.Demonstrated project coordination skills, including scoping, tracking, and problem-solving.Qualifications
High school diploma required; bachelor’s degree preferred.1+ year of experience as a project coordinator, traffic coordinator, or in a similar operations role (agency or in-house creative experience preferred).Experience using workflow, traffic, or CRM systems within a creative or agency environment.Seniority level
