Application Deadline : 2 November 2025 Job Location : Stellenbosch, Western Cape Job Title : Logistics Coordinator Education Level : Certificate Job Level : Intermediate Minimum Experience : 3–5 Years Customer Liaison Liaises with Clients & Sales representatives in an account management capacity regarding production and sales orders. Establishes and maintains good customer relationships to ensure customer satisfaction. Capturing and updating Sales Orders on SAGE with confirmed loading date and loading site. Monitoring stock situation and keeping client informed. Regular reconciliations of customer contract status / forecast and ensuring timely and accurate feedback to clients. Inform Finance timeously of any customer specific invoice related requirements. Submit bottling request to production planner according to sales order / production requirements / forecast. Check and monitor SAGE regularly to ensure it is updated and reflects confirmed customer requirements on loadings and productions. Manages and investigates customer complaints and takes corrective action to ensure customers are informed and complaints are promptly resolved to finality. Takes the lead in assisting and resolving any relevant quality issue. Meeting with other departments to discuss possible improvements to customer service. Updates SAGE Sales order with confirmed Loading date, Loading Site and Vessel details. Inform finance timeously of any customer specific invoice related requirements. Completes and updates Service level, daily dashboard and stock report on weekly basis. Co‑ordination of Production and Logistics Activities. Liaises with planning, production and warehouse on a continuous basis to ensure orders are produced and distributed to meet required delivery dates. Facilitates the distribution requirements planning process to ensure timely and accurate product delivery, which includes product movement from warehouses. Submit firm load plan on weekly basis to Freight Forwarders, Warehouses / Loading Sites – indicating accurate information and quantities. Process documentation for all shipments / collections / deliveries, timeously and accurately. Establish and maintain good relationships with service providers (SAWIS, DAFF, FF, Control Union, SGS, Bureu Veritas). Communicate with freight transport / freight forward companies on order status. Liaises with warehouses, freight forwarders and transportation providers to ensure streamlined procedures in line with our business and products. Ensure service providers are in compliance with company regulations (IFS, BRC, Health and Safety, etc). Administration and documentation. Executes all required documentation according to strict timelines and exceptional accuracy. Timely management of multiple lines of communication between suppliers, shippers, customers and internal parties, maintaining details, and relaying pertinent information to appropriate parties. Relevant tertiary qualification. Good understanding and knowledge of exports in the wine industry. Wine product knowledge and knowledge of wine exports such as applying for export certificates, notification of loading and declaration. Coordinate and manage international shipments from origin to final delivery. Liaise with shipping lines, freight forwarders and clearing agents to ensure timely clearance and transport. Verify and process all import documentation, including invoices, packing lists, bills of lading, and certificates of origin. Track container movements, monitor ETAs / ETDs, and update key stakeholders proactively. Ensure compliance with customs regulations, Incoterms and import legislation. Support procurement and finance teams with landed cost analysis and supplier reconciliations. Maintain accurate data on ERP systems and prepare logistics performance reports. Identify and implement process improvements to enhance efficiency and reduce lead times. Education : Diploma or Degree in Supply Chain Management, Logistics, or International Trade (preferred). Experience : Minimum 35 years of experience in imports logistics coordination or freight forwarding. Solid understanding of customs processes, tariff codes, and import controls. Experience managing sea, air, and road freight shipments. ERP knowledge (SAP, Syspro, or similar) and advanced Excel proficiency. Highly organised with meticulous attention to detail. Excellent communication and coordination skills. Strong analytical mindset with a proactive, problem‑solving approach. Able to multitask effectively in a fast‑paced, deadline‑driven environment. Typically 3–5 years of experience working in compliance‑related positions. This experience should include roles such as compliance officer, compliance analyst, or similar. Compliance & Portal Management – manage and maintain compliance data across client and retailer portals (e.g. IPW, Fairtrade, Organic). Ensure timely submissions and renewals with a 98% right‑first‑time accuracy rate. Keep certification and regulatory documents up to date and ready for audits. Support Quality Management Systems (QMS) to ensure adherence to policies, procedures, and standards. Conduct internal audits and compliance checks. Train and audit suppliers and wine producers against Fairtrade, IPW, and Organic standards. Facilitate and close out non‑conformances. Maintain farm‑to‑bottle traceability documentation in line with certification requirements. Administer and control versioned QMS documents. Assist in mock recalls and traceability testing to ensure readiness. Schedule, coordinate, and lead supplier, internal, and external audits. Ensure timely close‑out of findings and maintain accurate audit records. Maintain data integrity across ERP, QMS, and compliance portals. Support cross‑functional communication on compliance and quality updates. Identify and implement process improvements to streamline documentation and reporting. Participate in digital and process standardisation projects. Education : National Senior Certificate (Grade 12). Tertiary Qualification : Diploma / Degree in Quality Management, Food Science, Food Technology, or Supply Chain Management. Experience : 35 years in quality, compliance, or supply chain auditing within the food or beverage industry. HACCP (Intro + Practitioner). BRCGS Issue 9 & IFS v8 Awareness. Internal Auditor (ISO 9001 / ISO 22000 / FSSC 22000). Knowledge of Organic, Fairtrade, and IPW standards. Experience with mock recalls and traceability testing. Strong knowledge of quality systems, compliance, and regulatory frameworks. Excellent analytical, organisational, and documentation skills. High attention to detail and accuracy. Strong communication and problem‑solving abilities. Proficiency in Microsoft Office, ERP (SAGE / SAP), and QMS platforms. Self‑motivated, proactive, and collaborative. Own transport advantageous.
