AsanExecutiveAssistant(EA)youwillprovidecriticaladministrativesupporttothePrincipalandPartnersofthecompanyandundertakeadministrativefunctionstoensurethattheiroperational,project-basedandbusinessdevelopmentrequirementsarecarriedouteffectivelyandefficiently.

ReportingdirectlytotheEATeamLeader,youwillbegiventhefreedomtobeyourselfalongwithrecognitionforwhatyoubringtothetable,allowingyoumakearealimpactandbeatrueKearneyOriginal.

Responsibilities

  • Partner / Principal support
  • Arrangecomplextravel&logisticplans,oftenwithlastminutechangesforSeniorLeadership.
  • Coordinatecalendars,appointments,meetingagendas,minutesforSeniorLeadership,inadditiontostrategicsupport,advice,forwardplanningtomaximizeproductivitygainsforSeniors.
  • Timeandexpensemanagement,inadditiontohandlingpayments&invoicing,includingbutnotlimitedtodataentry,recharges,reconciliationsupport,reporting.
  • ManageandsupportwithPartnerandPrincipalmarketingefforts,planning,administrativesupport,communications,datacollection.
  • SupportasaprimarycontactforexternalandinternalstakeholdersfortheassignedPartnersandPrincipals,managingcorrespondence,emails,calls,approvals.
  • Draftcommunications,reports,presentations,spreadsheets,asrequiredtosupporttheLeaders,projectsandotherinitiatives.
  • SupportwithBusinessDevelopment;CRMmanagement,RFPcoordinationandsupport,L&Pmanagement,WIPcreation,trackingandmonitoringproactivelyforrelevantprojects,supportingwithcashcollectioninitiativepipeline,DSOsupportcoordinationwithrelevantdepartments.
  • Monitorandsupport;newsfeeds,securityupdates,internalteamFacebookanddistributionlistsandotheradministrativeneedsforthepractice.
  • Support&collaboratewithotherdepartmentsregardingperformancemanagementprocess,HRpolicies&procedures,Leaderleaveapplications,travel,BDandoperations,recruiting,financeandother.
  • AssistwithonboardingofnewPartnersandPrincipalstothefirm,ensuringsmoothcommunicationsandintegration,inadditiontoknowledgeupdatesonprocedures.
  • PrepareandmanageorganizedfilingsystemsonbehalfofthedepartmentandLeaders.

Project Support

  • Prepareandproofreadpresentationstostandard.
  • Supportpracticeareainitiatives,preparemeetingagendas,supportwithgeneraladministrativerequirements,organizeandmanagefilinganddatamanagementsystems.
  • Supportwithresearchrequirementsfortheprojects,asrequired.
  • Eventmanagementregardinginternalprojecteventsandorclientevents.
  • Firm Building Activities

  • Understandingandkeepinguptodatewiththebusinessorganizationstructure,policies,goals,andobjectives,trainings
  • Awarenessof(andparticipationwhereappropriate)officeevents,recruiting,alumnioutreach,socialandcharitableevents,trainings,coffee&connects / teachinsandotheractivities
  • Support,onboardandmentoryournewjoinercolleagues,coordinatewithnewjoineronboardingandsupportwithBuddyprogrammeandlistenandlearns

  • Have a college degree or equivalent hands-on work experience, preferably professional services industry
  • Have strong communication in English both oral and written. Arabic language would be advantageous but not essential

  • Haveexcellentanalytical,administrative,organizationalandtimemanagementskills
