You’re a natural organiser who plans and coordinates vehicle deliveries, collections, and transfers with efficiency and foresight. You manage driver schedules, prioritise routes, and anticipate challenges — keeping daily operations running seamlessly.

Details matter to you. You handle delivery schedules, trip documentation, and vehicle readiness with precision — making sure fuel levels, mileage, and condition reports are always spot-on.

THE MINIMUM REQUIREMENTS FOR THE ROLE ARE :
NON-NEGOTIABLE REQUIREMENTS
Matric / Grade 12 (or equivalent) with prior supervisory experience in a logistics, transport coordination, car rental or a fleet administration environment.
Sound knowledge of local / regional geography and familiarity with GPS tracking / dispatch systems.
Proficiency in Microsoft Office (Word, Excel, Outlook – intermediate)
A valid South African driver’s licence with the ability to commute reliably to work.
Excellent communication skills in English (both written and spoken)
Will also count in your favour if you have :
Knowledge of vehicle inspection, fueling, and handover processes.
Experience coordinating or supervising drivers / mobile staff.
Understanding of basic compliance and risk management procedures.
DUTIES WILL INCLUDE :
Delivery & collection operations
Plan, schedule, and manage all customer vehicle deliveries and returns.
Ensure each vehicle reaches the correct destination on time and in excellent condition.
Assign and dispatch drivers efficiently for all delivery and collection duties.
Track real-time progress, manage routes, and quickly resolve any delays or operational issues.
Schedule and manage chauffeur bookings for VIP, corporate, and long-distance clients.
Assign the right chauffeurs based on route knowledge, experience, and customer requirements.
Brief drivers on itineraries, client expectations, and service standards.
Monitor presentation and performance to ensure Woodford’s premium service values are consistently upheld.
Point-to-point transfers
Coordinate prompt pick-ups and drop-offs for key destinations such as airports, hotels, and business centres.
Confirm route details, timing, and client expectations with drivers before each trip.
Track trip progress, address issues proactively, and ensure seamless service delivery.
Fleet preparation & quality control
Ensure vehicles are always clean, fuelled, and ready for dispatch.
Conduct thorough pre-delivery checks for damage, tyre condition, and overall presentation.
Maintain high cleanliness standards, particularly for chauffeur and executive transfers.
Serve as the main contact for all client delivery, collection, and transfer queries.
Communicate professionally, clearly, and promptly with customers.
Ensure smooth, informative, and respectful handovers — every time.
Uphold Woodford’s premium service standard for both regular and VIP clients.
Driver management
Allocate, supervise, and support all drivers across delivery, chauffeur, and transfer operations.
Track driver schedules, availability, and performance.
Ensure adherence to dress code, professional conduct, and safety standards.
Provide regular briefings and feedback to maintain service excellence.
Vehicle returns & documentation
Oversee all vehicle return procedures, including fuel, mileage, and condition checks.
Record damages or discrepancies accurately and escalate to Fleet or Claims teams.
Ensure all documentation is completed precisely and on time.
Maintain up-to-date logs of all vehicle movements and driver activities.
Keep accurate trip records, schedules, and service reports.
Compile and submit daily and weekly operational summaries for management review.
Inter-branch & regional coordination
Liaise with other branches to coordinate vehicle and driver movements.
Support regional redistribution of vehicles during peak demand or special promotions.
Manage logistics for inter-branch transfers, overflow needs, and large-scale bookings.
Ensure all drivers hold valid licences, PDPs, and meet health and safety requirements.
Enforce compliance with traffic laws, internal policies, and insurance regulations.
Report and escalate incidents or delays following company protocols.
