In this position, you will ensure that all technical documentation is appropriately managed, controlled, and aligned with configuration standards, supporting seamless project execution and compliance. Job Purpose
Ensure the integrity, accuracy, and traceability of all controlled documents and configuration data throughout the product lifecycle, supporting compliance with internal standards, customer requirements, and regulatory obligations.
Responsibilities
Document Accuracy & Integrity
- Ensure all customer-facing documentation complies to Configuration and Document Management standards and requirements before distribution.
- Maintain strict control over document and data distribution to prevent customers from receiving obsolete or incorrect documentation.
Timely Delivery of Documentation
Provide required documentation and data within agreed timelines to relevant customers.Support project milestones by ensuring documentation readiness for customer reviews, audits, and acceptance stages.Compliance with External Customer Requirements
Ensure that document control processes meet customer standards, contractual obligations and regulatory requirements.Verify that all documentation and data meet customer configuration and quality expectations.Change Communication
Notify customers promptly of any approved changes that impact documentation or configuration.Provide controlled documentation and maintain a clear record of change process for customer reference.Audit & Traceability Support
Prepare and present documentation for customer audits, inspections, and configuration reviews.Ensure full traceability of configuration items and associated documents as per customer requirements.Customer Relationship & Support
Act as a point of contact for internal customers and suppliers.Provide guidance and clarification on document formats, standards, and submission processes.Provide support to internal customers as well as suppliers on document-related queries and issues.Document Control & Governance
Adhere, maintain and enforce document control procedures are in line with company configuration policies, procedures and process.Create awareness to prevent unauthorised or outdated documents being used.Configuration Management Compliance
Support adherence to internal and external configuration and quality management standards (e.g. ISO 9001, ISO10007 AS9100, ECSS-M-ST-40C as well as internal process and procedures).Monitor (across departments) and report on non‑compliance to document control processes.Change Management Support
Register, attend to, support and track and report on documentation Change Requests (CRs), and related approvals.Administer the document change process, ensuring timely updates and close off changes.Assist in managing documentation and data during engineering and QMS change process.Report on issues faced, difficulties or obstacles during managing change requests.System Administration
Maintain and administer PDM system (Teamcenter) as well as SharePoint and FileCloud.
Audit & Traceability
Conduct and support documentation and PDM system audits to ensure document compliance and traceability throughout the lifecycle and in support of external audits.Prepare for and participate in Internal audits to ensure ISO compliance.Ensure full traceability of configuration and associated documentation throughout the various product lifecycles.Collaboration & Communication
Act as central point of contact for document related queries within the organisation.Engage with cross-functional teams to ensure alignment on documentation processes and requirements as well as any document-related queries and issues.Ensure continues and accurate communication and notification on documents changes and process updates.Continuous Improvement
Drive enhancements in documentation processes to identify gaps, increase efficiency, reduce rework, and improve compliance.Report concerns (issues faced, difficulties or obstacles) and shortfalls to CM Manager and implement agreed corrective actions to ensure compliance.Support digital transformation initiatives related to configuration and document management.Required Qualifications
Advanced Certificate or Diploma in Document Management or Business Administration, or a related technical / administrative field
Required Experience
Minimum of 5 years of experience in a similar role, especially in industries (e.g., aerospace, defence, automotive, energy) with strict compliance configuration management standards (e.g. ISO 9001, ISO10007, AS9100, ECSS-M-ST-40C).Document Control & Configuration Management : Experience managing and maintaining document control systems and configuration processes.Engineering or Manufacturing Environment : Proven documentation control experience working in technical, engineering, or manufacturing environments.Change Management Processes : Strong involvement in supporting and executing change management activities related to documentation and data.Product Data Management Tools : Proficient in the use of PDM Systems such as SharePoint, FileCloud, and Teamcenter or similar tools.Quality & Compliance Standards : In-depth understanding of compliance requirements, internal policies, and external regulations related to documentation management.Cross-Functional Collaboration : Demonstrated ability to collaborate effectively with multiple departments including Engineering, Operations, and Quality teams.Recommendations
CMII (Configuration Management II) Certification will be advantageous for the role
