Job Description
- Manage and allocate vehicle stock across branches and departments
- Coordinate floorplan loading, settlement, and reconciliation
- Process floorplan sales and manage flagged vehicles and funding limits
- Prepare and maintain floorplan documentation for new and used vehicle acquisitions
- Ensure accurate recording of vehicle details and profit calculations
- Move stock for finance, sales, or workshop purposes and track physical movements
- Perform daily stock status updates, reconciliations, and availability reporting
Key Responsibilities
Stock Management & Floorplan AdministrationManage and allocate vehicle stock across branches and departmentsCoordinate floorplan loading, settlement, and reconciliationProcess floorplan sales and manage flagged vehicles and funding limitsPrepare and maintain floorplan documentation for new and used vehicle acquisitionsEnsure accurate recording of vehicle details and profit calculationsMove stock for finance, sales, or workshop purposes and track physical movementsPerform daily stock status updates, reconciliations, and availability reportingNATIS & Licensing Documentation
Track, collect, and sort NATIS documents from licensing departments and couriersArrange NATIS collections from finance and auction partnersSubmit and monitor name changes, RC2 downloads, and compliance with licensing protocolsSend NATIS copies to clients and ensure document filing is completed accurately and timeouslyCash Flow, Reporting & Administrative Duties
Prepare cash flow inputs and vehicle settlement forecasting for the Dealer PrincipalReconcile outstanding accounts and liaise with finance on remittances and invoice breakdownsSupport with DOC preparation and floorplan interest reportingDownload, prepare, and file relevant compliance documentation (FICA, resolution letters, terms accounts)Coordinate invoice communication and credit note follow-ups with suppliers and fundersKeep Wesleys office and reporting board updated with current stock status and finance summariesCoordination & Compliance
Liaise with internal departments including sales, licensing, and finance to ensure smooth vehicle flowAssist with bank queries, settlement letters, and auction document handlingRespond to queries from auctions and funding partners professionally and promptlyEnsure all vehicle deal files are complete, accurate, and properly storedRequirements
Matric with strong numerical and administrative skillsMinimum 35 years experience in a stock control or vehicle administration role in a used vehicle dealership environmentExperience working with floorplans is essentialStrong working knowledge of vehicle finance procedures and stock system processesFamiliarity with vehicle licensing and NATIS documentationExcellent communication, follow-up, and organisational skillsComputer literate proficient in MS Excel and dealership software systems eg, VMSAutomotive Industry experience Essential!Please note only candidates with the required experience will be contacted and considered.
