PURPOSE OF THE JOB :
The effective and accurate administration of the Parts department in a Branch to ensure efficiency of department.RECEIVING ADMINISTRATION :
Core Tasks :
Receive delivery notesGather JD and other suppliers invoices electronically for receiving processLink invoices with delivery notes and Equip ordersCapture invoice on systemVerify accuracy of receiving information on the systemObtain authorization for claimsCreate claims for shortages and overagesFollow up on outstanding claims and ordersKeep filing up to dateReport back on actions taken to ManagerAssist with ad hoc receiving duties as and when requiredREPORTS ADMINISTRATION :

Daily :
Generate reports from system (Credit notes, Outstanding picking slips, outstanding customer orders, outstanding quotations, quantity reports, outstanding inter branch transfers, lost sales)Forward reports to relevant parties for further actionVerify information on credit report with source documentsFollow up on outstanding documents / informationForward to management for authorizationFile completed documentsWeekly :
Generate reports from system (outstanding claims, shipping documents, outstanding purchase order, negative on hand report, BIN location report)Forward reports to relevant parties for further actionsFollow up on outstanding documents / informationForward to management for authorisationFile completed documentsMonthly :
Receive courier reportsReconcile reports with source documentsCreate order for paymentObtain authorizationFile completed documentsGENERAL ADMINISTRATION :
