As we continue to expand, we are seeking a highly organized and proactive Executive Personal Assistant to support our Founders in managing their day-to-day activities and ensuring the smooth operation of the business.
Role Overview
As the Executive Personal Assistant, you will play a crucial role in supporting the Founders by managing their schedules, coordinating communications, and assisting with various administrative tasks. Your ability to prioritize and manage multiple responsibilities will be essential in helping the Founders focus on strategic initiatives and business growth.
Responsibilities
- Calendar Management : Organize and maintain the Founders' calendars, scheduling meetings, appointments, and travel arrangements while ensuring optimal time management.
- Communication Liaison : Act as the primary point of contact for internal and external communications, managing emails, phone calls, and correspondence on behalf of the Founders.
- Meeting Coordination : Prepare agendas, take minutes, and follow up on action items for meetings, ensuring that all necessary materials are organized and distributed in advance.
- Project Support : Assist with various projects and initiatives, conducting research, compiling data, and preparing reports as needed.
- Travel Arrangements : Plan and coordinate travel itineraries, including flights, accommodations, and transportation, ensuring a seamless travel experience.
- Administrative Tasks : Handle various administrative duties, including expense tracking, invoice processing, and maintaining organized files and records.
- Confidentiality : Maintain a high level of confidentiality and discretion in all matters related to the Founders and the business.
Qualifications
Proven experience as a personal assistant or in a similar administrative role, preferably supporting senior executives or founders.Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.Strong written and verbal communication skills, with a professional demeanor.Proficiency in using productivity tools and software (e.g., Microsoft Office Suite, Google Workspace, project management tools).Ability to work independently and take initiative in a fast-paced environment.High level of discretion and confidentiality in handling sensitive information.What We Offer
