In this role, you will be responsible for maintaining supplier rates within Terra Nova’s systems. This role involves liaising with accommodation and activity suppliers, updating internal tracking documents, loading and verifying rates in Tourplan, attending to rate mailbox enquiries and assisting with various administrative tasks related to supplier data.
As a Rates Administrator, you will report directly to the Product Manager, with responsibilities that include, but are not limited to :
Key Responsibilities
– Request rates and information from suppliers and build and nurture strong relationships with said suppliers.
– Update supplier information in the Product tracking documents once rates and details are received.
– Upload rates and relevant information onto the booking system (Tourplan).
– Conduct thorough rate checks within our booking system (Tourplan).
– Attend to Rate Mailbox enquiries, responding to internal team queries related to rate requests, rate loading, and creditor requests.
– Update relevant Terra Nova colleagues with important supplier updates.
– Collaborate with the Terra Nova Sales Team to address rate queries.
– Provide assistance and support to colleagues as needed.
– Attend all required team and company meetings.
– Participate in mandatory training sessions and product presentations.
– Act proactively to find solutions for any issues, including supplier complaints, and escalate to the Team Leader in a timely and organised manner.
– Ensure clear, concise, and effective communication with clients, management, and team members.
– Adhere to all Terra Nova Company Procedures while performing duties.
Requirements
– At least 3 years of working experience within the Travel Industry or as a Rates Administrator
– In-depth knowledge of Southern African tourism destinations; Eastern Africa an advantage.
– Comprehensive knowledge of Tourplan system is an advantage.
– Proven track record of achieving and exceeding targets.
– A service-focused approach with the ability to handle pressure and tight deadlines.
– Ability to work extended hours when necessary to meet the demands and high pressure of the Travel Industry.
– A proactive, problem-solving attitude and ability to work independently as well as part of a team.
– Strong communication and organisational skills, with an ability to manage multiple tasks efficiently.
– Ability to establish and maintain effective working relationships with suppliers.
– Advanced knowledge of Microsoft Office and proven track record in use thereof.
