  • We’re on the lookout for an experienced Secretary to provide professional secretarial and administrative support to the General Manager. This is a key role that keeps operations organised, efficient, and running smoothly.
  • As a Secretary, you will be responsible for :

  • Coordinate and schedule all internal and external appointments & meetings for GM. Compile the SAICCOR with RHO annual meeting calendar to avoid clashes, liaise with meeting co-ordinators, send out invitations, and secure venues and catering when required
  • Record keeping and typing reports, memos, agenda’s and minutes as required. Prepare PowerPoint presentation slides for meetings such as LVL4, Manco, budgets, and VIP visits
  • Capture daily production data and distribute to stakeholders. Maintain weekly / monthly / quarterly reconciliations and integrate figures into other reports. Maintain weekly Production Target Losses / Shortfall spreadsheets and Q&P documents. ABB System & PHS System
  • Manage input and communication to the mill for the weekly and monthly Incentive Bonus scheme graphs & spreadsheets, and ensure PHS bonus tracking to ensure accurate payroll delivery, with LTI’s & mill record tracking. LIS System (new)
  • Maintain / check the annual production budget spreadsheet using rates and shutdown planning data, and grade scheduling provided by relevant parties. Consolidate / check all data for the GM’s monthly report and distribute accordingly (deadline)
  • Arrange travel bookings and manage financial claims. Track documents requiring signature and ensure timely return to requestors. Maintain management briefs index and files, EFT payments, SAP - T&A & ordering
  • Supervise upkeep of the Management Building to a high standard, cleaning staff, canteen, and gardens - report any problems
  • VIP visits – execute full program and follow up on smooth running of plan with Management Team & Comms Team
  • Custodian of all calendar bookings for the main office block meeting rooms
  • Support for GM with comms team as required – quarterly reviews, strategy sessions, etc
  • What are we looking for?

  • Grade 12 / Matric or equivalent NQF4 qualification
  • NQF6 or equivalent Secretarial / Office Administration qualification
  • 3 years relevant experience (Proven experience in a secretarial or senior administrative support role in a manufacturing industry would be beneficial)
  • Strong organisational and coordination skills
  • High proficiency in MS Office (Excel, PowerPoint, Word)
  • Ability to work with deadlines and handle sensitive information
  • Excellent communication and attention to detail
