We are looking for a confident, efficient and service Communications Agent / Reservations with strong hotel experience, excellent organisational ability and working knowledge of MS Office and Opera. You will support the Front Office, Communications and Reservations teams, ensuring administrative accuracy, smooth daily operations and a guest journey that feels effortless.
What We Are Looking For
Matric Grade 12
Minimum 2 to 3 years experience in a hotel front office or administrative role essential
Strong working experience with Opera PMS will secure and MS Office essential
Excellent verbal and written communication skills
Strong administrative ability including filing, reporting, record keeping and data capturing
Confident with guest communication, handling queries and following up on requests
Exceptional attention to detail and accuracy in all paperwork and systems
Ability to work calmly under pressure and manage multiple priorities
Computer literacy including Microsoft Office essential
Professional grooming and a warm, polished service approach
Willingness to work shifts, weekends and public holidays
What You Will Do
Support the Front Office team with day to day administrative tasks
Prepare arrival reports, VIP notes, traces and special request documentation
Maintain and update guest profiles, preferences and booking information on Opera PMS
Assist with check in preparation including key packs, documentation and room assignment validation
Track and follow up on guest queries, complaints, requests and communication logs
Support Reservations with overflow enquiries, amendments and confirmations when required
Monitor email inboxes and ensure prompt, professional responses
Assist with cash ups, invoice checks and financial documentation
Ensure filing systems, Front Office logs and administrative documents are accurate and up to date
Prepare daily handover reports for the next shift and ensure all information is clearly communicated
Liaise professionally with Housekeeping, Finance, F and B and Maintenance
Maintain confidentiality and handle sensitive guest information with discretion
