Inbound Tour Consultant – Leisure with DMC Experience
We are seeking a qualified candidate for the role of an Inbound Tour Consultant. The responsibilities of the Inbound Tour Consultant position include, but are not limited to :
- Craft Comprehensive Itineraries : Design and arrange detailed travel plans for both individual and group clients across Southern Africa.
- Assess Agent Needs : Conduct thorough evaluations of agents' requirements to deliver high-quality services tailored to their needs, budgets, and capabilities.
- Develop B2B Quotations : Create and compile imaginative and competitive B2B quotations and itineraries.
- Manage Rooming Lists : Compile and oversee rooming lists for travel arrangements.
- Monitor Release Dates : Ensure timely management of service booking release dates.
- Design Bespoke Itineraries : Create customized leisure travel itineraries that cater to the preferences of individual travelers and groups.
- Meet Deadlines : Ensure all quotations are accurate and submitted on time.
- Maintain Communication : Keep effective and open communication with agents throughout the quotation process until arrangements are finalized.
- Follow Up on Quotations : Promptly secure confirmations by diligently following up on quotations.
- Issue Invoices : Generate and issue accurate invoices to agents upon booking confirmations.
- Submit Invoices for Payment : Correctly submit invoices for payment, along with the costing sheet for each file.
- Address Client Inquiries : Respond promptly to client inquiries and acknowledge new requests.
- Provide Updates : Deliver daily updates to the Managing Director in a timely manner.
- Ensure Compliance : Ensure agents adhere to payment and cancellation terms, and enforce supplier booking and cancellation policies.
- Negotiate Rates : Secure better rates from suppliers for confirmed business through negotiation.
- Handover to Operations Team : Transfer finalized quotations to the operations team for ground service management.
- Deliver Final Itineraries : Ensure clients receive their finalized itineraries and hotel vouchers promptly from the operations team.
- Maintain Transparent Communication : Keep consistent and clear communication with agents, sales teams, preferred suppliers, and colleagues.
- Work Additional Hours : Be willing to work extra hours when necessary.
- Promote Products and Services : Actively promote offerings to enhance guest experiences.
- Conduct Research : Explore various travel destinations and provide informed recommendations, including travel costs, customs, weather conditions and reviews.
- Renegotiate Rates : Renegotiate confirmed files with suppliers to obtain rate reductions.
- Respond to Messages Promptly : Address emails and WhatsApp messages without delay.
- Handle Emergencies : Be available after hours for emergencies, either via telephone or in the office.
