Main purpose of the job :
- To provide effective, comprehensive and efficient administrative support to the Grants Department and assist in the implementation of various Grant finance related activities and tasks

Ensure that all employees on WHC payroll complete and submit timesheets monthlyEnsure that all contractors under WHC have submitted their invoices and or contracts to support the salariesDistribute the monthly updated report to Divisions detailing all outstanding timesheetsUpdate the management fee waiver and deviation tracker and Hub site listProcure and maintain the grant departments stationary including sites petty cash and cash advance booksAssist Accountants opening of New SitesEnsure all finance and grants documents are saved on SharePoint and are accessible to the grants teamAssist with setting up new users both internal and at site levelAssist Divisions with EPMV & P2P processes to expedite urgent payments & Purchase OrdersInitiate any urgent payments, management fee refunds and cash loansAssist with compiling audit filesAssist with cost Recovery supporting documentationRequired minimum education and training :
Grade 12Relevant Business Administration Certificate or Diploma will be advantageousRequired minimum work experience :
Minimum 2 years experience in AdministrationDesirable additional education, work experience and personal abilities :
Excellent communication skills (both oral and written)Ability to establish and maintain effective working relationships with staff at all levels within the organisationConfidentiality, tact and discretion must be maintained at all timesExceptional organizational and administrative skills are required together with working knowledge of Microsoft OfficeConfident personality with a proactive approachAble to exercise discretion, initiative and independent decision makingAbility to prioritise own workload and work to tight time scalesTO APPLY :
