Overview

We are seeking a detail-oriented and proactive Purchasing Administrative Assistant to support our Spare Parts Division. This role focuses on sourcing, costing, and procuring spare parts for refrigeration and air conditioning (RAC) equipment while providing essential administrative support to the purchasing team. The ideal candidate will have experience with Salesforce and excel at coordinating with suppliers, maintaining strong vendor relationships, and ensuring efficient operations to minimize equipment downtime.

Responsibilities

  • Sourcing and Costing : Identify and engage suppliers for RAC spare parts, analyzing lead times and pricing to ensure cost-effective procurement.
  • Evaluate supplier quotations and support the negotiation of favorable terms.
  • Purchase Order Management : Create, issue, and manage purchase orders, monitoring progress from initiation to delivery.
  • Approve invoices related to purchase orders, ensuring accuracy and timely processing.
  • Request Management : Receive and process incoming spare parts requests, ensuring accurate and timely fulfillment.
  • Maintain records of requests and deliveries to track inventory and operational needs.
  • Administrative Support : Assist the spares purchasing team with data entry, report generation, and other administrative tasks as needed.
  • Maintain organized documentation and provide updates on procurement activities to relevant stakeholders.

Qualifications

  • Proficiency in Salesforce is essential for managing supplier and customer information, tracking orders, and supporting data-driven decision-making.
  • Skills and Attributes

  • Strong organizational skills; ability to manage multiple tasks, requests, and orders efficiently.
  • Regular follow-up with suppliers for pricing, lead times, and overdue deliveries to ensure uninterrupted operations.
  • Excellent verbal and written communication for liaising with suppliers, internal teams, and other stakeholders.
  • Team-oriented mindset with the ability to collaborate and support departmental objectives.
  • Additional Qualifications (Preferred)

  • Previous experience in spare parts procurement or RAC equipment industry.
  • Familiarity with purchase order systems and inventory management software.
  • Strong analytical skills to support cost evaluation and vendor performance tracking.
