Executive Assistant role for a premier real estate development and consulting firm. The role supports the founder with calendar management, stakeholder coordination, and ensuring smooth communication across multiple companies. The ideal candidate is highly organized, tech-savvy, and able to work independently while driving business priorities forward.
Location and Compensation
Remote - South Africa
$1,000 - $1,500 USD / month (based on experience and skill set)
Work Hours : Monday-Friday, 9 : 00 AM - 5 : 00 PM EST
Key Responsibilities
- Manage and coordinate the CEO’s calendar, scheduling meetings in 15-20 minute increments.
- Anticipate needs and understand business context when arranging appointments.
- Draft and send meeting recaps, summaries, and follow-ups professionally and timely.
- Liaise with stakeholders, introduce meeting participants, and facilitate smooth communication.
- Conduct research to support business development and meeting preparation.
- Maintain accuracy and attention to detail in scheduling and communications.
- Support administrative duties such as organizing files, coordinating travel, and managing priorities.
- Learn and utilize company tools and platforms, including Microsoft Suite, Twilio, and other systems.
- Adapt to evolving business needs and propose process improvements.
- Perform ad hoc tasks to ensure smooth operations and enhance efficiency.
- Take ownership of projects and processes, leveraging tech tools and AI platforms where possible.
Minimum Requirements
5+ years of experience as an Executive Assistant, Scheduler, or similar role supporting senior executives.Experience working with American companies or stakeholders.Exceptional organizational, multitasking, and problem-solving skills.Ability to work independently, think critically, and proactively implement solutions.Fast learner with strong research skills and contextual understanding.Tech-savvy and familiar with leveraging AI and productivity tools.Flexible, results-oriented, and committed with a strong “doer” mindset.Preferred Attributes
