The Administrator / Receptionist will be responsible for managing daily operations, coordinating services, scheduling appointments, and maintaining accurate medical and billing records. The role demands someone who is organized, detail-oriented, and confident in communicating with clients, veterinarians, and service providers.
Key Responsibilities
- Manage reception duties, including answering calls, taking messages, and assisting clients
- Coordinate and manage vet appointments, including sending vets on calls
- Handle laboratory samples and ensure proper processing and tracking
- Arrange travel and transport for horses between provinces
- Update and maintain accurate medical histories for all horses
- Dispense over the counter medications under veterinary supervision.
- Cross-check and prepare accurate billing before invoicing
- Monitor and ensure vaccines are up to date
- Liaise directly with veterinarians, clients, and service providers
- Assist with balancing accounts and preparing financial reports
- Learn and operate the in-house DOS-based system efficiently
- Provide exceptional client service and support to the veterinary team
