We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasnat work environment, ensuring high levels of organizational effectiveness communication and safety.
Your duties will include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to all employees. Previous experience as a Front Office Manager or Office Administrator would be an advantage. Experienced with a variety of office software - email tools, spreadsheets and databases - and be able to accurately handle administrative duties.
Ultimately, the Office Manager, should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Requirements and Skills :
- Matric - qualification as an Admin Assistant or Secretary will be a plus
- Proven experience as an Office Manager, Front Office Manager or Admin Assistant
- Knowledge of Office Administrator responsibilities, systems and procedures
- Proficiency in MS Office - MS Excel / MS Outlook
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast paced environment
- Attention to detail and problem solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Present yourself in a professional manner
Duties :
Serve as the point person for office manager duties including - Maintenance, Mailing, Suppliers, Equipment, Bills, Errands and ShoppingSchedule meetings and appointmentsOrganize the office layout and order stationery and equipmentMaintain the office condition and arrange necessary repairsPartner with HR to update and maintain office policies as necessaryOrganize office operations and proceduresCoordinate with IT department on all office equipmentEnsure that all items are invoiced and paid on timeManage contract and price negotiations with office vendors, service providers and office leaseManage office G&A budget, ensure accurate and timely reportingProvide general support to visitorsAssist in the onboarding process for new hiresAddress employees queries regarding office management issues - stationery, hardware and travel arrangementsLiaise with facility management vendors, including cleaning, catering and security servicesPlan in-house or off-site activities, like parties, celebrations and conferencesIf this sounds like you, forward your CV by applying directly to this ad.
